Start with the calls you need covered
List the calls that reach you during a busy morning or after closing. Separate new service inquiries, appointment changes, price questions and repair-status requests. Then decide which need a confirmed action and which need an advisor's callback.
An AI service may fit a defined intake and booking process. Human coverage may suit calls that need extended discussion or judgment outside that process. Either option needs access to the right information and a clear limit on what it may promise.

What counts as a booked appointment?
Ask each provider to show a booking in the calendar your shop uses. Check whether the slot represents a drop-off, a diagnostic visit or reserved repair capacity. A preferred time in a call summary is still a request.
Then ask for a time that is unavailable, a service that needs approval and a reschedule. Watch whether the caller receives the correct outcome and whether the shop's record matches it. A spoken confirmation should follow a successful booking, not substitute for one.
Use the same test calls
Give both providers your approved hours, service information and booking rules. Use these illustrative scenarios and inspect the handoff after each call:
- A new oil-change request. Does it capture the vehicle and offer only a permitted appointment?
- A price question outside your approved menu. Does it preserve the question for an advisor without inventing an estimate?
- "Is my car ready?" Does the answer come from current, authorized job information, or does it take a message?
- "I need to speak to someone." Does the transfer follow your rules, with a clear fallback when nobody is available?
Listen for accuracy and clear next steps, then check the customer details, appointment state and callback task. A pleasant voice alone does not tell you whether the call was handled correctly.

For a simple per-unit plan, overage cost is the usage above the included allowance multiplied by the quoted rate. Add it to the base fee and separately charged extras. If the plan uses tiers, minimums or rounding, have the provider calculate the total under those rules. Mark bundled items as included so you do not count them twice, and ask whether tax is included.
Beside the price, record what your advisors still have to do after each call. A quote that only captures an appointment request covers different work from one that confirms a booking in your calendar.
