Which AI receptionist is best for your auto repair shop?
The best AI receptionist for an auto repair shop captures the customer, vehicle and concern, follows the shop’s booking rules, and gives service advisors a clear next step. Choose one that can demonstrate the connections and call handling your shop needs.
What should an automotive AI receptionist handle?
A useful automotive answering service covers new repair inquiries, routine questions, appointment requests and calls your advisors cannot take. For each call, decide what the receptionist can finish and what needs a person.
- Vehicle and symptom intake. Confirm the caller’s name and callback number, vehicle year, make and model, and the reported problem. Ask for mileage when it affects your intake. Preserve symptoms in the caller’s words; a reported noise is not a diagnosis.
- Booking with the right promise. Check current availability and your service rules. Distinguish a confirmed drop-off from a request awaiting approval or a reserved technician and bay.
- After-hours and overflow coverage. Use approved hours, pricing and drop-off instructions, with clear transfer and callback rules.
- A useful call record. Give advisors the customer details, summary, transcript, outcome and unresolved question in a place they can check.

The Scaling Team: managed setup and ongoing changes
We configure your receptionist around your services, booking rules and handoff preferences, then maintain it as your shop changes. Review the customer-call excerpt and ask us to demonstrate your calendar workflow. Named shop-system connections and texting availability need confirmation for your setup.
AutoLeap AIR: consider it alongside AutoLeap
AutoLeap AIR advertises phone coverage, summaries and appointment requests in AutoLeap Calendar for AutoLeap users. Ask which requests need staff approval and what connects if you use another shop platform.
Smith.ai: compare the human support option
Smith.ai’s automotive service describes AI and live receptionist options, intake and scheduling. Confirm which plan includes a live person, when that help is available and how the handoff works.
AgentZap: verify the advertised shop-system actions
AgentZap names several shop platforms, including Tekmetric and Mitchell 1. Its Tekmetric page advertises API booking, customer and vehicle sync, and repair-status reads. Request a demonstration of the exact action in your account; we have not independently tested those connections.
Kordless: compare phone, chat and CRM needs
Kordless describes voice and website chat, qualification, booking and CRM workflows. Ask whether the connection your shop needs is a calendar entry, a CRM export or a native shop-system action.
Trillet: check the calendar booking path
Trillet’s auto repair page describes vehicle intake and names Cal.com, Google Calendar and GoHighLevel Calendar. Ask whether your setup sends a booking link or creates an appointment during the call.
Does it integrate with Tekmetric, Mitchell 1 or your shop software?
Ask what the connection actually does. Reading availability, creating an appointment, updating a vehicle and checking a repair order are separate capabilities. A contact export or booking link does not establish all four.
For Tekmetric, Mitchell 1, Shopmonkey or Shop-Ware, give the provider your exact product and the task you want completed. Request a demonstration of:
- The required access and any account or vendor approval needed.
- The record read or written in the shop system, including its appointment or repair-order reference.
- What happens when a slot is taken, access fails or an update is delayed.
- How a cancellation or reschedule reaches every system that needs it.
For The Scaling Team, we assess your software before agreeing to an integration. We do not currently list Tekmetric or Mitchell 1 as verified native connections. Bring your system to the demo so we can establish the supported path.
Can an AI receptionist text customers after a call?
Post-call SMS can confirm a booked appointment and give the customer the agreed next step. Customer confirmations and alerts to the shop owner are different workflows: establish who receives which message, from what number, and after which outcome.
Ask us about appointment-confirmation texting for your setup. It requires an enabled business texting number and a tested recipient and delivery setup; availability is confirmed before it is included. An unconfirmed appointment request should never produce a “you’re booked” text.
During a demo, check the message on the recipient’s phone as well as the delivery result. The phone number supplied by a forwarded call may be the shop’s own line, so the recipient needs to be checked.
Six calls to make before choosing a provider
Give every provider the same shop information. After each scenario, compare what the caller heard with the saved record. Use this worksheet to record pass, follow-up or fail, plus what your advisors still need to do.
| Ask the receptionist | Check the result |
|---|---|
| “My 2018 Corolla makes a noise when I brake.” | Vehicle, concern and callback details are captured. No invented diagnosis or repair price. |
| “Can I come at ten tomorrow?” | The calendar accepts an allowed time before a confirmation. The caller knows whether this is a drop-off or repair slot. |
| Ask for a slot you know is full. | No duplicate booking. A valid alternative or a clearly pending request. |
| “I need to move my appointment.” | The correct booking changes, or an advisor receives the request. An untouched original booking is not described as moved. |
| “Is my car ready?” | A current, authorized repair-status source supports the answer. Without one, the shop receives the question. |
| “I need to speak to someone about a tow-in.” | Shop-approved routing and fallback. No unsupported promise that the vehicle is safe to drive or that a technician is available. |
Download the six-call comparison worksheet. If texting is included, add a delivery check after the confirmed booking. Use approved test numbers and records.
How should you compare pricing?
Ask for a typical-month and busy-month quote using the same call volume and tasks. Include setup, recurring fees, minutes or calls, overages, texts, transfers, connections and ongoing updates. A lower phone bill does not help if staff still have to repeat every intake.
Our AI receptionist cost and live answering comparison explains which costs and service differences to check. Our after-hours answering guide covers closed-shop rules.
